Automation: Excel, Trello, and Teamweek
Earlier this summer, we were approached by a company about automating a very tedious process they had to deal with on a weekly basis. IDP LLC is based in Las Vegas, Nevada, and their focus is in building custom cabinetry for homeowners across the valley.
With each new project, they have a rather large Excel spreadsheet that contains all the information needed to go from a design, to a fully built and beautiful custom cabinetry installation. This spreadsheet is vital to determining what resources will be used in the project, what tasks need to be completed, and how long each task will take.
Like many companies, IDP uses multiple project management software tools. In their case, they use Trello to track and notate how individual tasks are progressing, and Teamweek to ensure accountability and timely delivery. Each of these tools are great and fulfill their purposes, but there was just ONE problem. It would take hours to populate both Trello and Teamweek with each task from their large Excel spreadsheets, and the poor person responsible for this migration was prone to making small human errors in copying tasks over!
Our focus was on reducing the amount of manual labor involved in the process, so we could not only cut down on the precious time one would spend populating the two tools, but also eliminate human error and frustration. Let’s face it… nobody enjoys a tedious task like this week in and week out.
We decided to use a tool that IDP would be familiar with, Google Sheets. Using Google Sheets would allow them to continue their use of a spreadsheet, while also exposing the spreadsheet to the web.
Both Teamweek and Trello have API integrations available to developers publicly. These APIs allow us to hook up our Google Spreadsheet directly to IDP’s Trello boards and Teamweek accounts. With these APIs available, all we needed to do was create a script that would communicate with each tool, sending the spreadsheet tasks to each one, with the click of a button!
Within a matter of days, we had a working automation! IDP simply hits two buttons on their spreadsheet, and all of their tasks and deadlines are sent straight into Trello and Teamweek in a matter of seconds - saving HOURS of time and frustration!
